Asked to do a football banquet for a school. Around 220 people. Mostly players. Here is where I am at so far:

50 Lbs Cooked Pulled Chicken $11.99 $599.50
50 Lbs Cooked Pulled Pork $11.99 $599.50
12 Pans of Baked Beans (20-24) $21.99 $263.88
12 Pans of Cole Slaw (20-24) $20.99 $251.88
21 Dozen Buns $2.99 $62.79
1 Smoker Set-up with Pit-Master $150.00 $150.00
2 Buffet Attendant minimum 2 hrs $ 25.00 $ 50.00

Total $1977.55


The school is providing drinks and all the utensils, napkins, plates. Also they will have a choice of 1 sandwich either PP or Chicken and the Athletic Dir said if we run out of one he doesn't care they will just eat what is there. So basically Split the meat 50/50 for the 220. What's your thoughts.
 
220 1/3 lb sammies = 73ish lbs of meat so you have more than plenty. Maybe too much.
A full 4" pan will easily feed 35 so your way heavy on sides.
Why the smoker on site? Are you cooking onsite? $150 is cheap.
Not sure of your pricing structure but 2 meats, 2 sides at $15 is a decent price. Your giving it away at 2K. Your sides are less than $1 per serving?
2 servers for 220 will be a long line.

Thanks for the insight. So I should be looking more 6-7 pans of beans and slaw then. And should be somewhere around 14.99 lb for pp and chicken? The 150 seemed steep to me but I am new so I am open to all suggestions.

And more on the smoker part. We won't be cooking on site. He just wanted us to bring a couple of drums for smoke.

You will find you have some that will argue about anything...

This pan has less that that pan... wha wha wha, I want a credit...

I found that it is best if you call it a pan by weight... IE: 1) 5lb pan of Cole Slaw ect...... It doesn't matter if there is a little more, you have clarified the minimum weight of the pan....

We feed 55-65 people on a full 2" deep pan for beans made from 2 10# can of beans doctored up. I think you are hi on quantities. I've beefed up our normal numbers because it's a football event, they are in red beside yours below. This is based on them not caring if you run out of one meat but if parents will be there then I would do more meats to make sure I did not run out because those parents are potential future clients and you don't want them remembering you ran out of pork just before they were able to eat so for me I'd make sure I did not run out of either.

We would be $14-$16 per person for this in my area excluding the smoker on site.
 
my two cents, I only use 1/2 deep pans, 1 can of beans fits with onions,peppers etc and I get 20 bucks and never had a complaint. full tins will collapse when lifted. I get 24 a tray for mac n cheeze. The parties I did yesterday the people loved the 1/2 tins because they fit in home ovens. Also, I would keep your meat qty where you figured, because those high school football team can really eat! However it is a little over.
