Default Help! Contest Organization information requested..

I have been asked to be part of the planning committee for our local Sumerfest event, which has been put on by our city for a number of years. One of the reasons that they have asked me to be part of this committee is that they are considering adding a BBQ contest to this annual event.

Since I have only attended one local Ribs contest (K.C.B.S. sanctioned) and have not fully experienced a full four-meat competition, I would like to ask for your assistance in understanding what should be part of a good contest as well as what things to avoid to prevent a bad experience. Having input from contestants with first-hand knowledge will help me with my planning and decision making required to guide the planning committee. If anyone has worked as a sponsor or chair-person for an event, I would greatly appreciate any information about organization and planning you could share. Also, any thoughts on first-time events; should they be sanctioned or not.

I would say you will get more of a turn out if it is KCBS than a non-sanctioned contest. If the dates are right I know we would travel north.

I highly recommend that you look into KCBS' licensing program. You get the benefits of sanctioning at a fraction of the cost for the first year. We did that for our contest the first year and had a great experience all around.

This would be scheduled for June 21 - 23, 2012, with the BBQ contest on Fri 22nd thru Sat 23rd. Even though this is almost a year away, I know that may still be too close of a time frame.

that may be a bad weekend there is a comp in Franklin, In that same weekend if they keep it the same for next year.

Be careful in your (and the summer fest committe) expectations of what a KCBS event will bring to the summer fest. Make sure the summer fest committee will support you with MONEY. KCBS is a very expensive event and you will most likely not turn a profit.

If the committee is behind throwing a pro KCBS contest and is willing to support it then fine... but if they are under the impression that it will be a money maker and a huge draw (for the general public) they will be sorely mistaken.

Make sure they know what they are getting into, the sanctioning fees are just the tip of the iceberg in terms of costs...

Thanks for your information.

I haven't talked with anyone about why they wanted to add a contest, or if they want it to be sanctioned. I know that the first year(s) of any given event are the hardest, both in the financial and organizational stages. I know there is a lot of infrastructure that KCBS brings to the table, and that does cost. That is why I am seeking more information from those who have started a contest, sanctioned or not, to glean from them the things that we need to do to have a "good" contest. Also, from the contestants, any information that will make a new contest be something that they would want to come back to next year. If you've been to a new contest that worked well, what made it so nice. If it was a disaster, what were the problems.

I will be in the local "Enshrinement Rib Cook-off" tomorrow, which is KCBS sanctioned contest (One meat only) and I will talk with the KCBS rep. there and get his input. Plus I will be talking with a Brother who has worked sponsoring contests this Saturday for more insight. Still, any information you can bring to the table will allow me to present the best plan to our organization, so that they can know the risks and rewards possible.
